1. Identify the type of gratuity
Do not use 'gratuity' as one universal calculation. Retirement/retiring gratuity, service gratuity, death gratuity and other category-specific benefits arise under different provisions.
2. Check qualifying service
Use the qualifying service accepted for pensionary benefits, not merely the calendar period served. Service-specific regulations determine what counts and how fractions or special periods are treated.
3. Officers: an example of why category matters
Air Force Pension Regulations, for example, distinguish retiring pension from retiring gratuity and state a minimum qualifying service of 10 years for retiring gratuity for the officer provision shown in the official regulations. Other personnel/categories must be checked under their own governing regulation.
4. Check the sanction record
Compare the gratuity sanction/PPO with service particulars, qualifying service, reckonable emoluments and retirement category. If the underlying service data are wrong, ask for correction of the record rather than only asking the bank about the amount.
5. If gratuity is missing or short
Identify whether the problem is entitlement, qualifying service, calculation, recovery/adjustment, sanction or payment. Attach the pension/gratuity authority and relevant service record to the request.
6. Do not use an online estimate as sanction
A calculator can help understand an approximate result but cannot establish entitlement or override the amount sanctioned by the competent pension authority.
7. Death-related gratuity
Death gratuity and family pension are separate benefits. A family should check both rather than assuming that starting family pension automatically resolves every gratuity entitlement.
8. Processing time
The official material does not provide one universal disposal period applicable to every defence gratuity claim or correction. Use the timeline, if any, for the specific case/request.
